My advice: Start with Free to test: 100 tasks per month. If you need multi-step Zaps, Professional costs from $ 19.99 a month when paid yearly, for 750 tasks. Team costs from $ 69 a month when paid yearly for 2,000 tasks, as a flat price for the whole team. Choose the number of tasks based on what your workflows actually use.

Introduction1 min
With Zapier you do not pay per user or per workflow, but per task. Every time a Zap does something, it counts. That makes it hard to budget in advance what you will pay each month.
A side project that became a platform1 min
Zapier was founded in 2012 by Wade Foster, Bryan Helmig and Mike Knoop. It started as a side project: the founders kept building the same connections between web apps for freelance clients and decided to turn that into a general tool. The team worked fully remotely from early on; in 2020 it numbered about 300 employees.
The basic principle has stayed the same. You pick a trigger, for example a new form submission, and an action, such as a new row in your CRM or a message in your chat app. That combination is called a Zap. By now there is more to it: tables to store data, forms, AI steps, an SDK and MCP, so AI assistants can carry out actions in your apps.
How tasks set the price1 min
Every step in a Zap and every call to an external connection uses tasks. According to Zapier, the rate differs by type of step: the tier of the AI model, how long code runs and the type of connection determine how many tasks an action costs. All tasks come from one pool, whether they come from Zaps, AI steps, code, MCP or the SDK.
That makes the maths important. A Zap that runs three actions on every trigger uses at least three tasks per run. With AI steps in it, that can go up.
When you reach your plan's task limit, your Zaps pause. If you turn on pay-per-task, they keep running at a higher rate per task, up to a maximum. So check your usage regularly, especially if you use AI steps.

With Zapier you first choose how many tasks you need per month. The price depends on that. The amounts below are the entry tiers, in dollars. According to the pricing page, paying yearly saves 33%.

Free gives you 100 tasks per month, unlimited Zaps, tables and forms, and Zapier Copilot. You are limited to two-step Zaps, though: a trigger and one action.
Professional costs from $ 29.99 a month, or $ 19.99 a month when paid yearly ($ 239.88 a year), for 750 tasks per month. That gets you multi-step Zaps, unlimited premium apps, webhooks and AI fields. Live chat comes from the 2,000-task tier. At 2,000 tasks, Professional costs $ 73.50 a month, or $ 588 a year.
Team costs from $ 103.50 a month, or $ 69 a month when paid yearly ($ 828 a year), for 2,000 tasks. That is a flat price for the team, not per user. The pricing table mentions 25 users, while Zapier's FAQ mentions unlimited users for Team and Enterprise. Team adds shared Zaps and folders, shared app connections, SAML SSO and priority support. For Enterprise you request a quote.

Count in advance: the number of runs per month times the number of steps per Zap. Do you end up well above the 100 of the free plan? Then pick a Professional tier that matches that number straight away.
What every paid plan includes1 min
Every paid plan includes the full platform. You build in a visual editor without code, use tables to store data and forms to collect input. The number of app connections is not capped. You also get version history for your Zaps, custom error notifications and advanced settings per Zap.
If you change a Zap and something goes wrong, you roll back to an earlier version. Together with the error notifications, that stops a broken Zap from sitting idle unnoticed for weeks or wasting tasks.
Zapier next to n8n, Make and Activepieces1 min
Zapier is not the only way to connect apps. The difference lies mainly in the pricing model and in where it runs.
n8n charges per complete workflow, however many steps it has, and can be self-hosted. For long workflows with many steps, n8n can therefore work out cheaper. Choose n8n if you have technical know-how in house or want to run your automations on your own server.
Make also works without code, but with a visual editor in which you build workflows as a flowchart. Activepieces is open source and can be self-hosted. Zapier fits if you want to connect many different business apps without managing your own server.
